About the Role

An opportunity has become available for an experienced Executive Assistant to join our team based in Brisbane.  This position is vital in co‑ordinating the activities of a range of high level administrative and operational functions. Reporting to the Managing Director, you will provide executive support to the Executive Leadership team, ensuring strong business support is maintained across the organisation.

The Executive Assistant frequently holds responsibilities of a sensitive and confidential nature.

Key Responsibility
  • Management of diary and travel for the Managing Director, and Chief Operations Officer;
  • Assists Company Secretary with administrative functions relating to shareholder and/or board matters;
  • Provide general administrative and organisational support to the Executive Leadership Team;
  • Preparation and formatting of reports, letters and documents, ensuring consistency and accuracy;
  • Any other reasonable tasks as directed by the Managing Director
  • Coordination of events such as conferences, sponsorships and workshops etc.
  • Coordination of event attendance of the Board/Executives including travel and logisitcs; and
  • Any other reasonable tasks as directed by members of the Board for Board related matters.
  • Company Secretary functions relating to shareholder and/or board matters (ideal).
Required Experience
  • 10+ years’ experience in an Executive Assistant role.
  • Strong people skills and the ability to partner with a dynamic leadership team.
  • Excellent time management skills and the ability to multi-task and prioritise work.
  • Can work within an ambiguous, fast-moving environment while driving toward clarity and solutions.
  • Strong attention to detail.
  • Problem-solving skills and solutions focus.
  • Excellent written and verbal communication skills.
  • Strong organisational and planning skills.
  • High level proficiency in MS Office.
  • Company Secretary experience/qualifications (ideal).
